Making an Art Spreadsheet to Upload for variable products

We use a spreadsheet to enter data for art prints on our store. Filling out this data by the artist will help us create great listings. It includes long and short descriptions, media, size and category fields. 

If you don't have Excel or another spreadsheet we recommend Libre Office 

Once you open the template it is best to saveAs adding your initials and the date or other descriptor to the file name. Once you enter your data and send it back we will add pricing and shipping information for the variations to create the listings. 

Setup the description for each image

The import spreadsheet has a description row for each image.

  • The grey cells are typed in.
  • The light yellow cells are chosen from the drop down.

Choose the best available option. Suggestions for additional tags are considered. (You may notice the spreadsheet has hidden rows. These are additional formulas we need to add the variations; please just leave them hidden). The template supports up to 33 images. 

Column descriptions and actions: 

A – Artist name (This needs to match the brand name on the site and can be duplicated for all the images)
B – Title of the piece (for the reader)
C – Original Size (used in the long description)
D – Enter original Media used (pencil, watercolor, oil on canvas, acrylic on birch panel, etc.)
E – Short description goes under the title in the product view. Add a phrase or sentence about the piece. We will add “Archival print of _name of piece_ by _name of artist_” on import)
F – Long description can be much longer. What is the story about this piece of art? It can include if the original is available and a price. Also include a bit of information about the series if applicable. 
G – Series name (leave blank if not part of a series) will be used to show related products. 

The next section are choices of categories and tags to help potential purchasers sort and filter 

H – choose artistic Style (abstract, realistic, interpretive)
I – choose artistic medium (paint, drawing, photograph, etc.)
J – choose product Category - there are description under each category on the store.

K – choose major Subject (added to tags)


L – choose Color pallet (used for color filters, select closest option)


M – choose Shape of piece for filtering (slim, portrait, square, landscape, panoramic (slim and panoramic are 2:1 or more)

For photographers or those supplying their own images

N – supplied file name in this format: Artists initials underline image title dash optional code (ABC_beautifulScene-optionalCode)  - use websafe formatting (no spaces or special characters) - leave off the extension in the spreadsheet (but not in the actual file you submit). It is important to exactly match the supplied file, and use this prefix on the files.  

O – pixels of the long dimension (the large file you are supplying for reproduction, these are used to calculate the aspect ratio and maximum size that should give good printed results. Windows or mac file information detail should list the pixel size which is faster than loading the image into an editor). 

P – pixels of the short dimension

Once the data has been entered save the file in Excel or LibreOffice formats and email it back to us.
